From a rambling voice note to a clear brief: five edits

You talk through a task on the way to your next meeting: who it is for, what you want, the thing you forgot, the other thing you forgot and a deadline you only half recall. The voice note is a good record of what is in your head. It is a poor brief, because whoever receives it has to do the sorting you skipped. (A hypothetical scene, for illustration.)

Talking first and editing second is a fine way to start. You get everything out before you worry about order. Five quick edits turn the rambling version into something a helper can act on, whether it is a colleague, a contractor or an AI assistant:

  1. Underline the outcome. Find the sentence that says what should exist when the job is done and move it to the top. Everything else supports that sentence.
  2. Separate the facts from the wishes. Dates, names, amounts and file names go in a short list of facts. "It would be nice if" goes on its own line, marked optional.
  3. Cut the second telling. When you said the same thing twice with different details, one version is probably right. Decide which, delete the other, and flag it if you are unsure.
  4. Add what you left out because it was obvious to you: who the reader is, what has already been tried and what the helper should not touch.
  5. End with a "done" line. "Done means a one-page summary in the shared folder by Thursday noon, with sources." If you cannot write that line, the note is still thinking, not briefing.

Read the edited brief once as if you were the one receiving it, and mark each place where you would have to ask a question. Those are the places to add a sentence. If there are more than three, the job may need one short call instead of a better note.

Keep the original voice note if you can. If the helper comes back with something odd, the raw note often shows where the idea came from, and you can tell whether the oddity is in your thinking or in the sorting.

A hypothetical before and after. Before: "Okay, so the thing for the north account, no, the harbor account, they want a summary, sort of short, and I think there's a deadline next week, oh, and use the new template." After: "Outcome: a one-page summary for the harbor account. Facts: due next Wednesday, use the new template. Optional: one chart, if it helps. Do not touch: the old report. Done: the summary is in the account folder, with sources listed."
