How to hand off a chore that only lives in a browser tab

Some of your most repetitive work has no export button, no integration and no process document. It lives in a browser tab: sign in, open the report, set the dates, download, rename, upload somewhere else. You can do it half-asleep, so it never feels worth fixing, and it keeps coming back.

Here is a way to write such a chore down so that anyone can take it over: a colleague, a script or an AI assistant. The example is hypothetical and illustrative. A consultant ends every week by exporting a time report, renaming the file with the week’s date and filing it in a shared folder.

Part 1: Where it starts

The site or app, and the page you open first. Leave the password out; it doesn’t belong in the instructions. Credentials belong in a password manager or a vault.

Part 2: The steps, as verbs in order

Write what you do, not what you intend. “Open the weekly report. Set the range to Monday through Sunday. Export as a spreadsheet. Rename it to the week-ending date. Move it to the shared folder.”

Part 3: What done looks like

Say how anyone could tell the chore is finished. “A file with this week’s date is in the folder, and its total matches the total on the page.”

Part 4: What must not happen

A short list of fences keeps a helper from being too helpful. “Don’t change any settings, don’t delete older exports, don’t send anything to anyone.”

Part 5: What comes back to you

Ask for one line: done, or stuck at step 3 and what the page showed. Then you only open the page when something needs you.

Test the sheet

Hand it to someone who has never done the chore. Every place they hesitate is a line you forgot to write. When the chore changes, change the sheet the same day.
